The Board of Trustees of the Newby and Scalby Community Hall Trust has become

aware that members of the public have been delivering correspondence by hand to the

private home addresses of individual trustees.


This is wholly inappropriate and is not an acceptable means of communicating with the

charity.


Trustees are volunteers who are entitled to the same rights to privacy and personal

security as any other individual. Their home addresses are not public offices and should

not be used for correspondence, personal visits, or the delivery of documents relating to

the charity.


The charity has an official registered address specifically for this purpose. This ensures

that all correspondence is properly recorded, shared with the full Board where

appropriate, and dealt with in accordance with the charity's governance procedures.


With immediate effect, all future correspondence must be sent only to:

Any correspondence delivered to the private homes of trustees, whether by hand, by

post, or by any other means, will not be treated as official communication with the

charity.


The Trustees respectfully request that all individuals refrain from attending the private

residences of trustees for matters relating to the charity. Should this behaviour continue

after this notice has been issued, the Trustees will consider what further action is

appropriate to protect the privacy, safety and wellbeing of individual trustees. This may

include referring the matter to the appropriate authorities where conduct amounts to

harassment or causes alarm or distress.


The Trustees will continue to consider all properly submitted correspondence received

through the charity's official communication channels.
